Import File Preparation
STEP 1
Aesto receives Care Center data.
STEP 2
Aesto begins the transfer and restore of data.
STEP 3
Care Center completes MPI Cleanup.
MPI Cleanup is the process of identifying and de-duplicating records.
STEP 4
Care Center completes Practice Management Data Validation and Quality Assurance.
During this time, Appointment, Appointment Types, Departments, and Providers will need to be built into the athenaOne Tablespace to prepare for Aesto’s Data Validation process.
STEP 5
Aesto delivers Practice Management Data to athenahealth for Import and Quality Assurance.
Data will first be imported to athenaOne Preview. After QA sign-off is received, data will be imported to the athenaOne Production environment.
STEP 6
Care Center starts Clinical Data Validation and Quality Assurance.
Aesto offers services to complete Data Validation on your behalf, where Aesto’s clinically-trained team members remove the time-consuming burden of mapping data from your Legacy EHR(s) to your new EHR‘s import specifications. This service ensures data migration timelines stay on track and allows your team members to focus on other priorities during this critical and frequently complex transition.
STEP 7
Aesto delivers Clinical Data to athenahealth for Import and Quality Assurance.
Second Practice Management Data File
STEP 1
Care Center or Aesto Health will pull the 2nd Practice Management Data File for import to athenahealth.
If the care center has access to their legacy database to pull a backup, they will pull the data and provide it to Aesto.
STEP 2
Care Center completes MPI Cleanup, Data Validation, and Quality Assurance on the 2nd Practice Management File.
STEP 3
Aesto delivers the 2nd Practice Management Data File to athenahealth for Quality Assurance and Imports.
STEP 4
Care Center athenahealth Go-Live Date
Final Import
STEP 1
Care Center requests their final data backup from their legacy EHR vendor.
STEP 2
Aesto receives Care Center data.
STEP 3
Aesto begins the transfer and restore of data.
STEP 4
Care Center completes MPI Cleanup.
STEP 5
Care Center completes Practice Management Data Validation and Quality Assurance.
STEP 6
Aesto delivers the Practice Management Data to athenahealth for Import and Quality Assurance.
STEP 7
Care Center starts Clinical Data Validation and Quality Assurance.

Aesto delivers Clinical Data to athenahealth for Import and Quality Assurance with athenahealth.
Archive Build & Training
STEP 1
Care Center requests their final data backup from their legacy EHR vendor.
This is the same backup you will deliver to Aesto Health to prepare your post-go-live imports.
STEP 2
Aesto receives Care Center data.
STEP 3
Aesto begins loading data into the ChartCapture Archive.
STEP 4
Clinical Data is loaded, and Internal Archive Quality Assurance will begin.
STEP 5
Care Center conducts Archive Quality Assurance testing.
STEP 6
Aesto provides End-User Training for the Care Center Team Members.
STEP 7
Care Center provides the Patient Crosswalk and User List so Aesto can build all users within the ChartCapture Archive.
Care Center provides the User List and athenahealth provides the Patient Crosswalk to Aesto so the Archive can be activated.
STEP 8
Care Center signs off on the Archive.
STEP 9
